Responsibilities

General Administration

  • Manage the office and company documentation.
  • Contact and prepare document for government registration and legal related documents.
  • Arrange and schedule the meetings, conference, and appointments for Regional and Thailand team as required.
  • Manage all the office administrative activities including repair & maintenance of office furniture & fixture, office automation, office communications i.e. mobile & sim card, asset & stationery printing, car parking lots, first aids, security equipment, periodicals, etc.
  • Handle and provide the company credit card, company mobile phone, business card as required.
  • Liaise with internal and external parties as contact point to coordinate for service activities for all administrative related.
  • Liaise with accounting department for any expenses and petty cash.
  • Handle company communication and event management i.e. company conference, company’s party, etc.
  • Prepare and translate the letter, newsletter, announcements, appointment or any documents and distribute to all staffs.

Procurement

  •  Manage and control stationary, pantry items, office equipment and supplies including issue purchasing order requisition (POR) to order new items and control the inventory stock.
  • Manage, monitor and control other purchasing tasks as required.

Business Travelling Support

  • Handle and organize the business trip or visitors as required such as air ticket, hotel accommodation, transportation arrangement both domestics and international trip, etc.
  • Handle the visa, work permit and its related for all expatriates.
  • Handle all related benefits for all expatriates i.e. housing rental, company car, taxation, tuition fee for Expat’s children, company credit card, company mobile phone, others expenses, etc.

Reception

  • Assist to welcome and greet company customer, guests and visitors.
  • Supervise and assist the receptionist to perform their tasks effectively.

Messenger and Central Driver

  • Ensure all assignments to messenger, central driver or any couriers correctly and completely.
  • Assign the tasks to messenger, central driver or any couriers as required.

Maid

  • Ensure hygiene and tidiness of common office area, reception area and store rooms.
  • Ensure that the meeting rooms are clean after used.
  • Assist and support the maids to effectively perform their tasks.

Others

  • Supporting any other administration tasks as required for Regional and Thailand Office.

Qualifications

  • Bachelor’s Degree in Business Administration or any related field.
  • At least 4-5 years working experience in Secretary or Administration with proven administrative or assistant experience, prefer who knows logistics operations.
  • Excellent time management skills and ability to multi-task and prioritize work with tight deadlines.
  • Demonstrates strong knowledge of administrative function, good initiative and follow-up.
  • Shows good attention to detail and work on admin process improvement and other work as assigned.
  • Possess a high level of emotional intelligence, excellent interpersonal skills, a wide understanding of people issues.
  • Proficient in computer skills on MS Office, MS Excel, MS Outlook and Internet.
  • Good spoken and written in English language.
